Reviewing redactions

Philter One proposes redactions, and a person in your office decides what is removed before a redacted copy is made.

The review screen

When you open a document to review, Philter One shows it in three panes side by side:

  • Original: your document, with each piece of personal information Philter One found highlighted.
  • Redacted: the same document with each accepted redaction replaced by a marker naming its type, such as <<SSN>>. This is how the redacted copy will read.
  • PII Navigator: a list of everything Philter One found, in the order it appears in the document.

The Original and Redacted panes scroll together. Clicking a highlight in either pane jumps to its entry in the PII Navigator, and clicking an entry in the PII Navigator jumps to it in the document.

Check each proposed redaction

Each entry in the PII Navigator shows the text Philter One found, what type of information it thinks it is, and how confident it is, as a percentage.

  1. Accept or refuse it

    Each entry has Accept and Refuse buttons; the one you choose is highlighted. Reset returns the entry to unreviewed. A refused entry is not redacted, and its marker disappears from the Redacted pane. Refuse anything that isn't personal information, such as a company's public phone number you want to keep.

  2. Correct the type if needed

    If Philter One labeled something as the wrong kind of information, for example a phone number marked as a Social Security number, click its type and choose the right one.

  3. Redact repeated text in one step

    To redact every other place the same text appears in the document, choose Redact All Like This on its entry. It matches the exact text, including capitalization, so use it for distinctive text such as a name or an email address.

  4. Mark anything that was missed

    If you find personal information that Philter One did not flag, select the text in the Original or Redacted pane. In the Mark as PII window, choose its type and choose Save. It is added to the PII Navigator as accepted, with a Manual label. To undo it, choose Remove on its entry.

Your changes are saved as you make them.

Approve the document

When every entry is right, choose Approve. If the document shouldn't be shared at all, choose Reject. If you change your mind, Unapprove or Unreject sends the document back for review.

After approving, you can download the redacted copy.

Tips

  • Work through the PII Navigator from top to bottom, so nothing is skipped.
  • Pay closest attention to entries with lower confidence percentages; those are the ones Philter One was least sure about.
  • Choose Focus at the top of the review screen to hide everything except the document and the PII Navigator. Choose Exit focus to return.
